Researcher IDs and Profiles

This guide provides instructions how to create researcher profiles on various platforms and link them together.

Step 1- Create your ORCID iD

The ORCID iD is a unique, persistent identifier for researchers. Create your ORCID iD by registering here for free. You can find here a video to guide you through the registration process.

 

Emails Used

  • If you have more than one university email address, make sure you include them all in your ORCID profile to avoid duplicate ORCID identifiers being created.
  • It is highly recommended to add at least one personal email address in addition to your institutional ones. In case you forgot your password and you switched institution and can no longer access the institutional email, you'll be able to reset your password using your personal email. You can keep the personal email invisible to the public.

Step 2 - Add your Publications

There are multiple ways to add your publications into your ORCID profile.

Add your publications from Google Scholar

Export from Google Scholar
  1. Go to Google Scholar.
  2. Log in to your Google Account (if you're not logged in).
  3. Click on My profile in the left corner.
  4. Select the publications that you want to export.
  5. Click on Export and Choose BibTex .
  6. Go to File in the top Menu of the browser and choose Save Page As (or click CTRL+S) and select All files as type.
  7. Rename the file and add .bib at the end of the name, then Save.
 
Import into ORCID
  1. Go to ORCID.
  2. Under Works section, click on +Add and select Import BibTex .
  3. Choose the .bib file .
  4. Select, edit and control the visibility of any record .

Import Publications from Scopus

  1. Under Works section, click on +Add then Search & link .
  2. Scroll through the list and select Scopus - Elsevier .
  3. Select 'Authorise' and follow the steps to identify relevant publications to connect your ORCID with Scopus .

Import Publications from Other Platforms

For databases or platforms directly connected with ORCID, follow the same steps as importing from Scopus (previous tab).

For databases or platforms that don't have a direct connection with ORCID, you need to export the citations in the form of BibTeX (.bib) files and then import the file into ORCID. 

To import a BibTeX file (.bib):

  1. Under Works section, click on +Add and select BibTeX.
  2. Click on Choose BibTeX file to import and then select the BibTeX (.bib) file you want to import.
  3. Select publications from the list that comes up
  4. Click on Save all to add all of the publications at once or click on Save (disk) icon next to the desired publication to add the work individually.
  5. The publications will appear in the Works section  and you will be listed as the source.

Add Publication Manually

  1. Log in to your ORCID account.
  2. Under Works section, click on +Add and select Add Manually  (image below).
  3. Complete all required fields (Work type, and Work Title) and add the other information you have.
  4. Choose the visibility option at the end of the record .
  5. Save changes.

 

You may also import publications using the unique identifiers DOI or PMID.

Delegate your ORCID Profile

You can grant permission to one or more trusted individuals to update your ORCID record, acting as a delegate or proxy for managing your account. Other ORCID users can grant permission for you to update their records.

A trusted individual does not need to be another researcher, but must have an ORCID iD.

  1. Click on your name in the upper right corner and select Trusted Parties .
  2. Type in the ORCID iD, email address or the name of the trusted individual and click on search .
  3. Click on Add Trusted Individual .

When the trusted individual signs in to their account, they will be able to toggle between their own ORCID account and the delegated account. Trusted individuals will be able to edit any information on your ORCID profile except your password and account details.

 

Revoke Permissions

To remove the trusted individual's permission to edit your profile or a platform to import publications, 

  1. Click on your name in the upper right corner and select Trusted Parties.
  2. Click on Revoke Access .
