This guide provides information pertinent to completion and submission of projects, theses and dissertations at Hamad Bin Khalifa University (HBKU).

Thesis Submission Process

The submission of the dissertation or thesis to ProQuest, and projects to LibWizard, signifies the final step in the process.  As a graduation requirement, all submitted theses will be reviewed by the Provost’s Office with revisions requested if needed or final approval given. The complete steps for the submission of the HBKU Thesis can be found in the Submission Process Flowchart.

1. HBKU Thesis Template

Ensure that the correct HBKU Thesis template has been used. This includes thesis in Arabic. The formatting approval for the final version of the thesis is required for graduation. 


2. Timeline

Adhere to the deadlines stipulated in the academic calendar for the Spring and Fall graduation to ensure graduation requirements are completed before the deadlines.


3. Similarity Index Report

The supervisor completes the similarity index check on the thesis using the iThenticate software.  The Similarity Index Report created is submitted through iProcess (found in MyBanner) for approval by the supervisor, program coordinator, and the Provost’s Office.

 

4a. ProQuest (Thesis & Dissertation)

As a graduation requirement, all dissertations and theses must be submitted and published through ProQuest. The ProQuest database hosts a collection of dissertations and theses from around the world. Publication on ProQuest is open access however the student retains copyright. HBKU theses and dissertations are published after the degree conferral.

Resubmission

To change a submitted thesis on ProQuest, a new account is not required.

4b. LibWizard (Project)

As a graduation requirement, all projects must be submitted through the HBKU Library LibWizard. All projects will be published in Manara, the HBKU Library repository with copyright retained by the student.


5. Embargo

An embargo is a restriction placed on the publication of a thesis for a time period. Students may request an embargo for various reasons including time to patent results from the research project, to enable time for the publication of articles from the research, or when the research contains sensitive information. The HBKU embargo period is either a six month or one year embargo.  This can be indicated during the account creation on ProQuest.


6. Changes after submission

It is the student’s responsibility to ensure that the thesis is updated and in the final format before submission. Changes after submission would require the approval of the thesis committee members. Changes to the thesis after degree conferral and publication, is not permitted.
